Who is responsible?

What data and why?

The enquiry form asks for your name, email address or telephone number, arrival and departure dates and an optional message. The contact type and stay length are also submitted. These details are used to reply, discuss availability and prepare a booking. Your name, contact details and dates are needed to handle the enquiry; a message is optional. Do not send identity documents, payment-card details, medical information or other sensitive data through this form.

Legal basis and use

Your enquiry is handled at your request with a view to a possible contract (Article 6(1)(b) GDPR). Technical data needed to deliver the site and prevent abuse is processed for the legitimate interest of providing a secure, working service (Article 6(1)(f)). The operator does not use enquiry data for newsletters, advertising, profiling or automated decision-making.

Who receives data?

Your enquiry is submitted through Formspree and handled by Karen De Coster. Formspree processes the form details and technical data needed for delivery and security, such as an IP address and browser information. Correspondence with the listed iCloud email address is processed through Apple’s email service. GitHub Pages receives technical data needed to serve the website, such as your IP address, requested page and browser information. The operator does not sell your data. Following an external link takes you to a provider whose own privacy policy applies. Loading external activity photographs connects your browser directly to the image host, which receives technical data such as your IP address and browser information. The site does not send the referring page. The image hosts are listed below.

Transfers outside the European Economic Area

Service providers may process data outside the European Economic Area. Formspree states that it processes data in the United States and uses standard contractual clauses for transfers as a processor. Retention

The operator keeps enquiry data to handle the request, until the booking is confirmed. Data subsequently needed to carry out the agreed stay or meet legal obligations forms part of the booking administration. Enquiries that do not result in a booking are deleted no later than three months after the last contact. Deletion covers both the form inbox and related email correspondence; service providers’ technical logs are subject to their own retention policies.

Your rights

You can request access, correction, deletion or restriction of the processing of your data. Where the GDPR provides for it, you have a right to portability and may object to processing based on legitimate interests. Send your request to decosterkaren@icloud.com. Additional identity information will only be requested where necessary. A response is normally provided within one month; you will be informed of any permitted extension. You may lodge a complaint with a competent data protection authority, for example in the country where you live or work.
